Background
Plan International is a child-centred NGO working in 51 developing countries. With an emphasis on long-term sustainable development and emergency response, Plan International assists children and their communities across a range of programmes in areas such as education, child protection, and water and sanitation.
Established in 2003, Plan International Ireland is a dynamic organisation that supports Plan International’s work worldwide. Plan International Ireland has over 7,500 regular givers who support our work through Child Sponsorship. In addition, funding is currently received from a variety of sources primarily the public through various fundraising initiatives, Irish Aid, the EU, corporates, trust and foundations, and trade unions.
In addition to its work overseas, Plan International Ireland strives to raise awareness of development issues in Ireland through media relations, key events, advocacy and development education.
The Role
Reporting to the Head of Finance, you will be a key member of Plan International Ireland’s team at a time of expansion and growth.
As the Finance & Operations Administrator, you will be responsible for providing high-quality support to the Finance and Operations Team, as well as the CEO.
Responsibilities
Finance Support
- Responsible for environmental and travel reporting to our International Headquarters in the UK.
- Ensure the fixed asset register is accurate, and administering petty cash.
- Support the Finance Officer with data entry and associated administration.
- Assist the Finance Officer with the processing of supplier invoices and payments.
- Assist in the counting, recording and lodgement of donations received.
- Assist the Finance team during internal and external audits.
- Support Finance team members and the CEO with administrative aspects of their work as needed.
Office Management
- Maintain and order general office supplies, stationery, printer maintenance, etc. as needed.
- First point of contact relating to office issues – dealing with the Landlord, general office maintenance, etc.
Operations
- Assist the Head of Finance in ensuring all aspects of insurance are adequate – including the administration of the organisation’s insurance policy.
- Act as the organisation’s Health and Safety Focal Point.
- Administration of travel and specific events including booking of flights, accommodation, venue hire, conference management, etc.
- Ad-hoc administration support to the Head of Finance and CEO as needed.
Essential Attributes
- Good communication and organisational skills.
- High degree of proficiency in all Microsoft Office packages, especially Excel and PowerPoint.
- Highly organised, excellent attention to detail with the ability to prioritise.
- You have the ability to manage multiple projects simultaneously and possess the skills to effectively work within cross functional teams in a collaborative environment.
Qualifications and Experience
- Education to Leaving Certificate or equivalent followed by third level certification (business / office administration course) or other Third level qualification.
- At least three years of relevant professional experience in a similar role.
